I was recently asked to write an article for a local business journal on how businesses are challenged with technology in the area of human resources. (You can view the full article here.) Of course, I was not at liberty to promote any specific solution so I was forced to be very vague about how to fix the problem I had to just highlight the challenges. We work with many mid-sized businesses and a common observation is that there is just too much paper and manual processes in human resources. In most cases, they do not have a formal human resources information system (HRIS) rather solutions that fill specific needs such as payroll self service, time management or external benefit portals.
SharePoint is a great solution to leverage in filling the gaps or configuring solutions to manage the challenges in human resources. The data collection and workflow capabilities enable leadership and employees opportunities to reduce paper forms, have insight into status of approvals/task completion and enable better communications for non-critical activities. Examples of processes that we have automated for our clients include employee on-boarding & termination, change of information, vacation request and accrual management, policy notifications and acknowledgements and the list goes on.
The key is to stop yourself from trying to replace solutions the organization has invested in but rather fill the gaps that are not satisfied by those investments. It can be quite overwhelming if you look at the department and software holistically but rather boil down individual processes and identify if they are efficient. SharePoint is a great solution for filling the gaps and reducing the manual activities that waste time and money.
