In today’s society, technology plays a vital role in our everyday routine and it is heavily depended upon. What we tend to forget sometimes is how easy it is to mishandle confidential information in our cyber footprints. With Data Loss Prevention (DLP) policies in Office 365, it gives us the security we need to ensure that certain content does not get mismanaged. Having the ability to know there are tools out there that will help manage and minimize the risks will make for a happier organization. DLP policies can be turned on/off throughout various locations in O365 such as Outlook, SharePoint Online, or even our OneDrive for Business as easy as switching the toggle button.
DLP policies are built through rules and conditions – giving the policies the ability to block access to sensitive content, automatically encrypting document(s), or even notify users if/when content is being saved to the wrong location. DLP policies are set up in such a manner that when SharePoint earch engine does its routine crawl – when any sensitive information is picked up, the policy allows the system to apply actions for the content to be protected from accidental mishaps that could cause a catastrophe.
Some examples of sensitive information include:
- Taxpayer Identification Number
- Credit Card Information
- Social Security Number
- Health records
Microsoft understands that organizations has rules and regulations that they have to be compliant with, which is why they have created several generic policy templates that any organization can use or they can always create their own using the custom template.
Here are a few of the DLP templates that Microsoft has to offer:
- Financial DLP Templates
- Medical DLP Templates (i.e. – HIPAA)
- Privacy DLP Templates
