Restricting Access to NetSuite

An important part of any implementation is defining the roles that employees will use and configuring the permissions to fit those roles. Roles and permissions in NetSuite are used to restrict employee access to certain record types, with varying degrees of restriction. Each level of access will give an employee the ability to accomplish different things. For example, “Create” will only let a user create a record. They will not be able to “Edit.”

One of of the benefits of using a cloud ERP solution, is the ability to access the system from anywhere. Due to advances in mobile technology, you can now sign into NetSuite via computer, tablet, or mobile device (NetSuite offers Adroid and iOS versions of their mobile app). However, you may want to restrict where employees can login to NetSuite.* IP address rules allow you to restrict employee’s NetSuite access to specific computers.

IP Address Rules

After enabling enabling IP Address rules, you can choose to restrict access at the company level or employee level. Meaning, IP address rules are defined once and used for all employees across the company or individually on each employee’s record. For example, you may want to limit the access of your warehouse receiving team, but allow your Controller unlimited access. The following formats can be used to assign IP address rules:

  • Single IP address – 123.45.67.89
  • Range of IP addresses – 123.45.67.80-123.45.67.99 or 123.45.67.80-99
  • Multiple IP addresses – 123.45.67.89, 234.56.78.91
  • All IP addresses – text “ALL”
  • Deny access – text “NONE”
