Microsoft Dynamics CRM 2015 was released for online and on-premise on December 1, 2014, and out-the-box, it has some neat functionalities. In this blog post, I will be concentrating on how to set up rollup field in Microsoft Dynamics CRM 2015.
In the past, if we wanted to do a sum or rollup of all associated opportunities amounts to a related Account, we would need a developer to create complex code or a plugin. However, with Microsoft Dynamics CRM 2015, you can do this using out-the-box user interface.
Business Scenario – The Account manager wants to see the total estimated revenue from all related open opportunities on related account.
Step 1: Go to Setting > Customization > Account > Main Account Form > Add new Field
Under Data Type > Select Currency
Step 2: Under Field Type > Select Rollup
Step 3: Click “Edit” on the right of field type from above screenshot.
You should now see this Rollup Field Configuration page.
For related entity > select Opportunities (Potential Customer)
Filters: If Est.Rev contains data
And Status is Open (I only want to sum Est.Rev for Open Opportunities)
Aggregation > SUM
So when you finished configuring your rule, it should looks similar to the screenshot below.
Step 4: Add the Rollup Field to the Account form > It should have a little calculator icon next to the field to indicate it is a calculated field and locked.
Step 5: Here we have two related Opportunities totaling $16,000 for this account.
However, we only want the Open Opportunity and not Won Opportunity.
Next, Click the recalculate icon and you should see $10,000 in our new Total Estimated Revenue
There you have it, aggregating data from child records to the parent record without the need to code.
There are some limitations on this particular rollup data field. You can read them here in this Microsoft article about rollup field.
In my opinion, this is a very useful and most requested functionality since Microsoft Dynamics CRM 4.0. It was a long wait and Microsoft finally heed our call to add this functionality out-the-box.
